We may receive information that is essential to an order from Shopify, payment platforms, carriers and other providers involved in fulfilling it.

• To process and take payment for your order, prepare and ship your artwork, and provide the necessary after-sales support.
• To send confirmations, preparation and tracking updates, receipts and messages about your purchase.
• To respond to enquiries, returns, warranty requests and complaints.

• To send news or promotions when you have consented. You can withdraw your consent at any time.
• To protect the store, detect fraudulent activity and address potential claims.
• To measure and improve the website when the tool used and applicable law allow us to do so.

Right to cancel within the EU

If you buy as a consumer, you can cancel the contract within 14 calendar days of receiving your order without giving a reason. To let us know, email team@polarisclub.eu with your order number and a statement that you wish to exercise your right to cancel.

After notifying us, you must return the product without undue delay and, in any event, within 14 calendar days. Unless the product is faulty or incorrect, or we expressly state otherwise, you are responsible for the direct cost of the return.

Return conditions

The product must be returned in a condition that lets us check its nature, characteristics and function, preferably in its original packaging and with all included items. You should handle it only as much as necessary to inspect it. Contact us before sending it back so we can provide the instructions and return address that apply to your order.

Refunds

We will refund the amounts received, including the cost of standard delivery where applicable. We will issue the refund without undue delay and no later than 14 calendar days after you notify us that you are cancelling. We may wait until we receive the product or you provide proof that it has been sent back, whichever happens first. We will use the same payment method you used for the purchase unless we expressly agree otherwise at no cost to you.

Faulty, damaged or incorrect products

If a product is non-conforming, arrives damaged or does not match your order, email us as soon as possible at team@polarisclub.eu with your order number and, if it helps identify the issue, photographs. We will apply the legal guarantee and any corrective measures that are required, without passing on costs that we are legally required to bear.

Legal exceptions

The right to cancel may not apply to products made to the customer's specifications or clearly personalised, when the legal requirements for that exception are met. If an artwork or configuration is not eligible for cancellation, we will tell you before you complete your purchase. Nothing in this policy limits your non-waivable consumer rights.

Destinations and rates

We currently ship only within the European Union. The shipping cost and estimated delivery time for your order will be shown before checkout. As a guide, our usual terms are:

Order preparation

We usually begin preparing orders within approximately 48 business hours. Delivery times are estimates and may be longer during busy periods, public holidays, carrier issues or circumstances outside Polaris Club's control. Your delivery address must be complete and correct. If you notice a mistake, email us as soon as possible at team@polarisclub.eu.

Optional SecureShip

During checkout, you can optionally add SecureShip. If you choose it, SecureShip covers 100% of the loss or theft of your parcel during transit, no questions asked. If an issue occurs, contact us with your order number so we can handle it.

Choosing or not choosing SecureShip does not reduce your legal rights as a consumer or replace any obligations that apply to the seller or carrier. It adds specific cover for loss or theft during transit.

Delivery issues

If tracking stops, your order does not arrive within the stated time or you receive a parcel with visible damage, contact us so we can look into it. We will work with you and the carrier to find a solution in line with applicable law.

polarisclub.eu offers Polaris Club products through an online store. By browsing or buying, you accept these terms, the Refund policy, the Shipping policy and the Privacy policy, subject to the protections available to EU consumers under applicable law.

Products, prices and orders

Before you pay, we will show the product's essential features, available options, applicable total price and shipping costs. Prices are shown in euros. Your order is confirmed when we send a confirmation to the email address you provided. If, exceptionally, we cannot accept an order, we will let you know and refund any amount charged.

Payments and availability

Payments are processed by authorised providers; Polaris Club does not need to store your full card number. Availability can change and some artworks may be made to order. We will correct obvious pricing or availability errors, let you know and respect your rights.

Permitted use and intellectual property

You must use the website lawfully, safely and respectfully. You may not copy, distribute, modify, sell or exploit Polaris Club designs, text, photographs, brands, code or visual elements without permission. Using the store does not grant you rights to this content.

Third-party services and liability

The store relies on third-party services to host the platform, process payments, produce or deliver orders and support certain features. We work to keep these services operating properly, but occasional interruptions may occur. Nothing excludes or limits liability that cannot legally be excluded, or reduces the guarantees and rights granted to consumers.
